Background: Running the snack program behind the modern office

Founded in 2016, Snackwise delivers customized snack, beverage, coffee, and pantry programs for companies across the Bay Area, helping employers create workplaces employees actually want to return to. Owner Steve Toves has grown the business without losing the personal service that built it, and Operations & Purchasing Manager Roger Hechema makes sure every order, invoice, and delivery reaches customers accurately and on time.

That's no small task. In Steve's words, Snackwise is “a logistics company providing food and beverage”: more than 4,000 SKUs moving across warehouses, drivers in the field, and hundreds of customer locations, all consolidated into customer-specific monthly invoices. Coordinating that effectively depends on the software and tools underneath it, and for years that was the weakest link.

Challenge: Priced out by one ERP, poorly served by the next

Before DOSS, Snackwise had cycled through two major ERPs and never fully implemented either one, backfilling the gaps with QuickBooks and spreadsheets. They started on NetSuite, but got priced out.

“We have 2,300 invoices with lines of data going through the roof, and NetSuite was charging us per line of data. Our bill quadrupled overnight and they just expected us to eat it.”

Microsoft Dynamics 365 came next, and as a small business Snackwise was handed off to third-party implementation support. That was the deeper problem. Snackwise is a high-volume company, its work is time-sensitive, and every small change became a slow, billed ticket.

Subpar support, inflexibility, and consolidated invoicing were the recurring pain points across both systems. Snackwise rolls thousands of individual orders into a single monthly invoice per customer, and neither legacy ERP handled that cleanly. Meanwhile, a mistake could compound quietly: if a customer was sent Coke instead of Diet Coke, that error could repeat 40 times a day for a month, leaving Roger to manually correct 800 orders at billing time.

As the business kept scaling, staying stuck wasn't an option. Snackwise needed a way out fast.

When Roger discovered DOSS, the fit was immediate. Steve was not only looking for a solution to support their volume, but good people behind it to support them as they grow.

Where the old systems forced Snackwise to conform, DOSS adapted to how they already worked. Today the team runs ordering and invoicing on DOSS Order Management : drivers place and modify orders from the field, the warehouse works from generated pick tickets, and the month's orders consolidate into a single invoice per customer. Repetitive work that used to eat whole days is now built in. Instead of editing hundreds of transactions when a product changes, Roger swaps product A for product B across a customer account with one form.

Just as important as the automation was how approachable DOSS felt. Roger, who calls himself “a business person, not a technologist,” picked it up quickly and now runs it day to day.

Wrong orders reaching customers have become the exception, not the routine. Complaints from drivers about wrong orders have gone quiet, which for a team this close to its customers is the real signal that the data is right. That increases customer satisfaction, which increases sales through referrals. It also reduces returns, which further increases cash flow.

The small stuff no longer drags, either. Bulk order corrections are now automated via forms, and fixes happen in minutes instead of weeks. Steve judges a vendor by how fast it solves a problem, and the difference is stark compared to the old systems.

What's next: Purchasing, inventory, and accounting

With ordering and invoicing running smoothly, the next phase is the one that matters most to Steve: bringing procurement , inventory , and accounting into the same system to replace the QuickBooks-and-spreadsheets workarounds and manual warehouse counts. The goal is real-time inventory with reorder triggers, so Purchasing gets a notification when it's time to buy rather than walking the warehouse counting cases.
